Terms of Service

Last updated August 2026

These terms govern your organization's use of Tjane Workforce. By creating an organization, accepting an invitation, or subscribing to a plan, you agree to them on behalf of your organization.

What Tjane Workforce is — and is not

Tjane Workforce is a workforce readiness, scheduling, and HR operations platform for healthcare employers. It is designed to hold information about your workforce: employment records, credentials, schedules, time, training, and policy acknowledgements.

It is not an electronic health record, a patient clinical record, a billing or claims system, or a medical device. Do not enter patient identifiers, diagnoses, treatment notes, or any other protected health information (PHI) into fields that were not expressly designed and contracted for that purpose. We do not claim HIPAA compliance, SOC 2 certification, or any regulatory accreditation, and nothing on this page or in the product is legal, payroll, or compliance advice. You remain responsible for your own regulatory obligations.

The service

Tjane Workforce provides workforce readiness, credential tracking, scheduling, time and attendance, leave, training, policy acknowledgement, performance, and HR record-keeping tools for healthcare employers. Features may change as the product develops; we will not remove a feature your plan depends on without notice.

Accounts and access

  • One person, one account. Do not share sign-in credentials between people.
  • Organization owners and admins are responsible for who they invite and what permissions they grant.
  • You must remove access for people who leave your organization. We cannot know when that has happened.
  • You are responsible for activity that occurs under your accounts.

Your data and your responsibilities

Your organization owns the workforce data it enters. You grant us only the access needed to operate, secure, back up, and support the service for you.

You are responsible for the lawfulness of the data you enter, for having a basis to hold employment and credential information about your staff, and for meeting your own regulatory, licensing, labor, and payroll obligations. Tjane Workforce assists with tracking; it does not discharge those obligations for you.

Subscriptions, plans, and seat limits

  • Plans are billed in advance through Stripe on the interval shown at checkout, and renew automatically until cancelled.
  • Each plan includes an active-employee allowance: Starter 25, Growth 75, Scale 200. Only active, onboarding, and on-leave employees count. Inactive and terminated records do not consume an allowance.
  • Adding staff beyond your allowance is blocked until you upgrade. Existing records are never deleted because of a limit.
  • Founding and promotional discounts apply for the period stated at checkout, after which the standard plan price applies.
  • You can cancel at any time from the billing portal. Cancellation takes effect at the end of the paid period; we do not pro-rate partial periods unless required by law.
  • If a payment fails, your organization keeps full access during a short grace period and is then placed in read-only mode until billing is resolved. Sign-in, viewing, export, and access to the billing portal remain available.

Acceptable use

  • Do not enter patient records, clinical notes, or other protected health information into the platform.
  • Do not use the platform to harass, surveil unlawfully, or discriminate against staff.
  • Do not attempt to access another organization's data, probe or bypass access controls, or disrupt the service.
  • Do not resell, sublicense, or white-label the service without a written agreement.
  • Do not upload malware or content you have no right to store.

No professional advice, no certification claims

Readiness scores, compliance indicators, overtime calculations, payroll exports, and policy templates are operational aids. They are not legal, HR, payroll, tax, accreditation, or clinical advice, and they are not a certification of anything. We make no claim of HIPAA compliance, SOC 2 certification, or regulatory accreditation. Have qualified professionals review decisions that carry legal or licensing consequences.

Availability and support

We aim for high availability but do not offer a contractual uptime guarantee under these standard terms. Planned maintenance is kept brief and, where practical, announced in advance. Support is provided through your account channel during business hours.

Suspension and termination

We may suspend an organization for non-payment beyond the grace period, for a serious acceptable-use violation, or where continued operation would endanger the service or other customers. Except for abuse, we will contact the organization owner first. You may terminate at any time; on termination you may request an export of your data before it is removed.

Liability

The service is provided as is. To the maximum extent permitted by law, our aggregate liability is limited to the fees your organization paid in the twelve months before the claim, and we are not liable for indirect or consequential losses. Nothing here limits liability that cannot lawfully be limited.

Changes to these terms

We will update the date at the top of this page when terms change and will notify organization owners in the product for material changes. Continuing to use the service after a change means you accept it.

Contact and support

Questions about this page, your organization's data, or a deletion or export request should go to your Tjane Health account representative, or through the support channel listed for your organization at tjanehealth.com. Requests are handled through the account owner on record so we can confirm authorization before releasing or removing workforce data.
